Enhancements for Tradeflow Trade Partner Centre were released between September 2018 to March 2019. Please read below for details about the enhancements.

 

Trade Partner Centre – Notes

To allow users to store a large amount of text as notes for a trade partner, a new Notes field has been added to the Trade Partner Details tab.  This field allows up to 4,000 characters of text, and is editable on the main Trade Partner Details tab (the first page that appears when editing a trade partner).

With the new Notes field, users can populate data into the field manually on an individual trade partner or use an upload file (CSV or XML) to update several trade partners at once. If users are using an upload file, they can utilize the Append Notes functionality to add new notes to the end of existing notes. Users will need to include the Append Notes field in the upload file, and flag it accordingly; otherwise, the notes uploaded will overwrite existing notes.

 

Users can also use Find Trade Partner to search for existing notes that have been stored, and extract the details in all available file formats (CSV, XLS, and XML).

 

Finally, changes to the Notes field will be tracked in the History of the trade partner.

 

Trade Partner Centre – Enable Screening

Users will now see a field called Enable Screening in the Restricted Party Screening section on the main Trade Partner Details page.  This Yes/No field provides customers with the ability to set a flag to stop trade partners from being screened. This may arise, for example, in the situation where the trade partner no longer has a business relationship with the organization.

 

Enable Screening will default to Yes when a new trade partner is created. It must be deliberately set to No, either by selecting the field on an individual trade partner, or by making the change via an upload file.

 

Along with the introduction of the Enable Screening field, the hyperlink in the same section has been changed to match.

If users initiate a Mass Screening of any trade partners that have Enable Screening set to No, the email confirmation sent to the user will show a Not screened count of trade partners that were not screened.

Note: The default criteria for a Quick Search, a new Find Trade Partner Search, or any of the saved Global Searches is for Enable Screening to be set to Yes.

 

Also, for customers who have an automated screening process setup, the system will not queue up any trade partners that have Enable Screening set to No. Users will not see a report of the count of trade partners not screened, because the automated screening will never queue them up.

 

Trade Partner Centre – Screening Notes

For trade partners that have been screened against the restricted party lists, and have screening results to review, there is now a new field called Screening Notes on the Restricted Party Screen Results tab. When a trade partner is in a Pending Review status, or has already been flagged as a Restricted Party status, the Screening Notes will be available for use.

 

The Screening Notes field can hold up to 400 characters per entry, and there can be multiple note entries made over time.  Generally, whenever a trade partner goes into Pending Review, users may choose to make a note when reviewing the results.  It is optional to enter screening notes.  Whether or not the user enters screening notes, the user still will use the same Match, No Match, or Conditional Match buttons to make their final screening determination.

If screening notes are entered during the determination process, they will be logged into the Screening Audit Trail as a new column on the far right.  Previously entered notes will also display on the Restricted Party Screen Results tab, as a running log of notes entries logged over time.

 

The Screening Notes field can only be populated manually on each trade partner while working on the Restricted Party Screen Results tab.  It is not available to populate on upload; nor can it be extracted across multiple trade partners.

 

Trade Partner Centre – Tentative ID

A new field called Tentative ID was introduced to allow flexibility in storing and managing the Trade Partner ID field.  Normally, the Trade Partner ID is a required field to create and save a new trade partner. However, selecting the Tentative ID check box will allow users to create a trade partner without the ID or, for existing trade partners that have a Trade Partner ID already, if users select the Tentative ID check box and save, users will be allowed to modify the Trade Partner ID. By default, the Tentative ID check box will not be selected.

 

If users want to create a trade partner without a Trade Partner ID, they can select the Tentative ID check box before saving. The Name and at least one Trade Partner Type are still required.  Additional data elements, such as an Address and/or Contact Name, are available to store too.  If the user is processing a screening against the restricted party lists, this can be accomplished without a Trade Partner ID.

 

Note: Multiple trade partners can exist with a blank Trade Partner ID. However, if one of these is changed to a Trade Partner ID that already exists separately, an error message will be shown.

 

The Tentative ID check box can be populated not only manually on individual trade partners, but also via upload (CSV or XML).  However, changing the value of a Trade Partner ID can only be done manually one trade partner at a time.  Finally, the Tentative ID field is available in the Find Trade Partner search page, and the Yes/No values are included on the automated outbound data extract formats.
